Using the QMS

Tutorials

After logging into the QMS (Quarantine Management System), users will first be presented with a welcome screen which allows them to watch special introductory tutorials.

Currently there are two tutorials, both created in Flash and requiring a sound card. One tutorial covers the main QMS interface and the other discusses administrative functions (and is only visible to administrators). These tutorials can be re-accessed at any time from the Tutorial link at the upper right of the browser window.

Administrators may hide these tutorials entirely by setting the Hide Tutorials option in the Globals section.

The QMS interface

The QMS interface was designed to look like Novell GroupWise WebAccess to ensure user familiarity and comfort level.

There are three major sections to the QMS interface

  1. Message List - presents a list of e-mails and allows the user to perform tasks on selected messages.
  2. Search - Allows the user to specify criteria to narrow down the display in the Messagelist to a useful subset of their e-mail.
  3. Function Tabs - These allow the user to switch between major functional areas in the QMS.


There are also Logout and Tutorial links at the upper right of the browser window.


Message List

The user will probably spend most of their time in the QMS looking through messages, and deciding what to do with them. Hence, the Message List is the heart of the QMS.

The Message List looks like most e-mail list interfaces, with a few exceptions. It consists of a Taskbar with buttons at the top, plus the actual tabular display of messages.

If a message has a green "halo" surrounding the checkbox, Image:QMSUsingGreenHalo.jpg this means that a user has performed a task previously on the message (released, forwarded, etc). You can hover over the halo to see what tasks have been performed. You may also look at the message Properties for a more detailed summary.

Selecting messages and performing tasks

The user can select one, many, or all of the messages by toggling the checkboxes. The checkbox to the left of the Date column allows the user to select/unselect all messages.

After selecting one or more messages, the user may perform a task by clicking on the appropriate Taskbar button. Buttons will only appear if the user has been granted rights to perform the task.

These tasks include:

  • Release - the message will be released to that user and appear in their mailbox, as if it had never been blocked. No GWAVA process will block it this time. By default, all users inherit this right from the 'default' group, and it's probably the most common task users perform in the QMS.
  • Delete - the message is removed from the the user's ownership. In addition the message may be physically deleted.
  • Forward - Just like the release task, the message is released. However, the user may add additional comments, change the subject, from, and recipient field, etc.
  • WhiteList - Presents an interface permitting the user to create a source or destination exception in GWAVAMAN.
  • BlackList - Presents an interface permitting the user to create a source or destination address block in GWAVAMAN.
NOTE: There are specific differences in the functionality of these tasks dependent on both Global settings and whether the user is an administrator. See QMS Task Details for more information.


Moving from Page to Page

If more than one page of messages is displayed, NEXT and PREVIOUS buttons appear in the Task bar.

Score and Events Columns

The Date, From, Subject and Recipients column are more or less as you would expect in any e-mail program. The Events and Score column are unique to the QMS. The Events column lists the Events (virus, attachment filtering, spam, etc) that were triggered when the message passed through GWAVA. The Score column is the score returned by the anti-spam heuristic engine. A higher score indicates a message that contains more attributes that make it appear to be spam. These are useful management columns, and in conjunction with the Search interface permit the user to search and sort in a useful way.

Multiple Events or Recipients

If more than one event or recipient exists in the message, a pull-down menu is used in the display. You may use the pull-down to see the other members of the set, or hover over the control with your mouse.

Viewing a Message's Text or Properties

You can click on any message's SUBJECT, to open up a separate browser window, where you can view the original message, and the core properties associated with the message. These include the actual MIME structure of the message, additional information about the events, and status tracking to see which users have performed what tasks on the message.

NOTE: The date/time display, as well as how many messages comprise a viewing page, may be adjusted by the user under the OPTIONS tab. Additionally, initial defaults may be set by the administrator at the user and group level. The default date/time display is Day-ShortMonth-Year, and the default items to display is 25.

Searching the Quarantine

To search the quarantine for blocked or archived messages, select the Quarantine tab, then select/enter the criteria regarding the email to locate. The criteria is in the left column. Select to search on sender, recipient, subject, to/from domain. It may also include, exclude, or use a quantitative modifier on the search selection. Multiple search criteria may also be added (see lower figure).

To add a second or more search fields, press the "+" button to the left of the search field. To remove one press "-" button. Up to 3 search fields are permitted

To perform the search, click the Search button.

All searches are persistent during the user's login session. You may additionally save the search for long term usage (see below), or click the Reset button to remove all of the currently customized search criteria.

Message Age

By default, unless the user or administrator has changed the setting in the OPTIONS tab, the QMS only displays the last 3 days of messages. You may change this setting, and even enter a custom date range.

Advanced Searches

If the user clicks on Show Advanced, additional options appear, to allow searching by event type, and customize the sort (which by default is by date):

Message ID lookups (Administrators only)

The Message ID of a message is a unique identifier of the message stored in the database. You will see it displayed in the Properties of the message.

Normally, this isn't terribly important to you, but if there is a problem releasing a message, the user will receive an error message containing the message ID and be told to consult their administrator(s). This field is a quick and fast way to look up such a message.

If this field is non-blank, all current search criteria are ignored except for the Message ID field.

Saving Common Searches

The QMS has the capability of saving commonly used search criteria. To save/load/delete a query, press the Image:QMSQueryIcons.png icons located just beneath the Quarantine tab. The following dialogs will appear allowing saved queries to be stored, loaded, or deleted.

Function Tabs

The Function Tabs above the Message List and Search Interface allow the user to access different portions of the QMS. These are chiefly administrative in nature

  • Quarantine - the Quarantine tab is always the default tab selected when the user enters the QMS. Clicking on the Quarantine tab presents the Message List and Search Interface.
  • Options - the Options tab allows the user to adjust various settings, such as date/time display. The user can also obtain a summary of their account and their rights, their Managed Addresses, etc. See User Options

These tabs are only visible to administrators:

  • Digest - Configure the Digest Services
  • User, Group tabs - View, add, edit, remove users/groups. See Users and Groups (QMS)
  • Globals - Global settings. A miscellany of display and processing settings that are global rather than per user in nature. See QMS Globals
  • Tools - Some advanced diagnostics and reports. See QMS Tools
