Blind Carbon Copy Service

Introduction

The administrator may apply the Blind Carbon Copy Service against any message event. The Blind Carbon Copy Service sends a copy of the original message (in its original state) to the administrator or specified BCC address.

This service is similar to the Notify Defined Address service (Events and Services). Here are some of the differences and similarities:

  • The Notify Defined Address service does not include the original message. It merely triggers a notification template summarizing basic information about the message, such as the subject, sender, recipient(s), and why the notification occurred).
  • The Blind Carbon Copy service sends the message in its original form. Nothing is altered.
  • The Notify Defined Address service is generally attached to a discrete filter. The Blind Carbon Copy service may be attached to a discrete filter or to an overall event. (See below)
  • The Notify Defined Address service allows a custom list of recipient addresses per event. The Blind Carbon Copy service sets a single e-mail address as the recipient, and this address is used for all Blind Copy services.

Uses for the Blind Carbon Copy Service include:

  • Monitoring employee behavior.
  • Maintaining a permanent record of all mail within the mail system.

Applying the Blind Carbon Copy Service

The Blind Carbon Copy service can apply at either the overall Event level or at the discrete filter level.

For example, this service can be assigned at the Attachment Filename filtering level, in which case it will apply to all Attachment Filename filters (including ones added after the service is activated). Activation at this level should be done with care, because of the volume of extra e-mail generated.

Alternatively, for many events you can apply this service at the discrete filter level. In this case, it might apply only to the *.EXE filter, not to other Attachment filename filters.

Not all events currently expose a discrete filter service assignment, because for these events such a distinction makes little sense. Among these:

  • Antivirus (For a specific virus?)
  • Antispam
  • Oversize

To configure the Blind Carbon Copy Service, expand the folder for the server you want to configure, expand Manage scanners, expand the appropriate scanner, expand Message Services, then click on Blind Carbon Copy.

NOTE: As you make changes to your configuration, the disk icon Image:SaveButton.gif in the upper right corner of the page will become active and the words SAVE CHANGES will appear. Do not forget to click the icon to save your changes before moving to another page, or your changes will be lost.

Configuration

At the top, the administrator may configure the BCC'd messages to go to the predefined administrator address or to a single specific e-mail address.

Now, click on the Events that are flagged for Blind Carbon Copy link. A tree list of events will appear

Note the following in this example:

  • Some events have folder icons (Image:FolderIcon.jpg) next to them. This means that you can activate the BCC service at either the overall event level, or at discrete filter levels.
  • The checkbox (Image:StandardCheckedBox.jpg) next to Message body and Message subject+body events is fully filled out. This means that if a message triggers either of these events the message will be bcc'd.
  • The checkbox (Image:ThirdStateCheckBox.jpg) next to Fingerprinting is not fully filled out. This means the BCC service has been assigned at a discrete filter level. Not all messages fingerprinted will be BCC'd. We'll see these in a minute.
  • The other events have unchecked checkboxes (Image:StandardUnCheckedBox.jpg), so the BCC service doesn't apply at any level of these events.
  • You may click on any of the checkboxes to activate/deactivate the BCC service.

In this example, if I click on the folder icon next to Fingerprinting, the specific discrete filters that have the BCC service activated will be displayed:

The ANM checkbox are selected, so the BCC service will be activated for messages with ANM attachments. Notice that none of the other filters are checked off; the BCC service will not apply to these.

Contrast this with clicking on the folder icon next to Message body event and you'll see that because the parent checkbox has been activated, all child filters (including future ones that might be added later) will have the BCC service activated.
